Configuring Employee Roles (User Permissions) in Boombirds

How to create & map different roles in your organisation including access permissions

Every organisation will have employees with varying levels of access to enable them to effectively complete their tasks and also to ensure data security in the company.

Boombirds allows you to map the entire organisation hierarchy so that there is no hindrance for employees to access the information they need to perform their tasks efficiently.

To start configuring, click on Configure to access the configuration settings.

From the configuration page click on User Permission to configure different roles and user access levels in boombirds.

You will be able to see some pre-configured user roles/permissions such as Customer, Staff, Management Staff, and Owner. You will be able to edit these roles and their custom rights by clicking the pencil icon. You can also create entirely new roles by clicking the Plus (+) Button at the right bottom.

From the Add User Permission Menu, you will able to create new roles. 

Name -  The title of the new role

Applicable for : Select whether the role is applicable for Workforce (employee) or Customer or Field Staff.

This helps us to identify whether this role is to be used for an Employee or a Customer or a Field force. (When you are adding an employee to your organisation, these roles that you have created under Employee will be available for you to select and assign accordingly. Similarly for Customer and Field Staff.

Then you will find two checkboxes:
Allow user to change assignee - This is the highest access right you can have. You have the permission to move tasks from one person to another in your team, you can assign tasks from the team queue to any member in the team, you can assign your tasks to someone else.

Allow User to transfer their task or unassigned tasks to an individual -  This gives the user the privilege to move their task to someone in case of taking leave or to be continued by that person. And also if any task is in team queue, they can assign it to the team members.

Note: With this permission, the person cannot re-assign the task which is already assigned to someone else.

Default Permissions for an employee:

  1. The employee can self-assign the tasks from the team's queue. This encourages the employees to be proactive and helps create self-organised teams.

  2. They will also have permission to unassign their task. This task will be removed from their plate and it will be added to the team's queue.

  3. They can also move the tasks assigned to them to other team members.

The last portion in user permission for an employee is the Wallboard Post permission.

By default Wallboard Post Rights is disabled, meaning the employee doesn't have access to post in the Wallboard.

If you wish to provide access for the employees in this role to write posts in the Wallboard, toggle this button. 

Post to: You can allow a particular role (e.g. Customer Success Executive) to write posts only to Customers. In that case, you select only Customers. Let's assume another role (Accounting) is writing procedures for internal use only, in that case you, would choose the Workforce. The posts written by them will be visible only in this particular category of users.

Circular Posts - This type of posts allows you to collect responses from your target group.

View Analytics: After you have posted to a group, you can see the response and reach it had within your target segment, to view such built-in analytics select one of the two options. 

My Post - For most employees, you would only want them to see the analytics for their posts

My Groups - For example, if you are creating a manager role, in that case, the manager would like to see analytics of all his employees' posts as well

Once you have configured the necessary permissions, click on Proceed to save the role.
