Recurrence policy enables us to automate the service request creation process right on or before the due date for the respective clients for the repetitive services.
For example, Chartered Accountants file GSTR-1 monthly for a few clients and quarterly for a few clients. We will see how to create a recurrence policy for it.
Go to Configure > Services > Recurrence Policy > Create Recurring Service
Enter details of the service, such as policy title, and choose the service from the dropdown box. Select the duration for the applicability of the policy. (You can leave the ‘to date’ blank, so the policy will continue to create SRs until we stop it). Set the frequency of the service and choose the due date from the dropdown.
Set the duration for the Service Request to be created before the due date. For example, the GSTR-1 monthly due date is the 11th of every month. You can set that the service request should be created 10 days before the due date. Therefore the SR for GSTR-1 monthly will be created on the 01st of every month, giving you 10 days to work on the service). And click Proceed.
Now, we have to choose the customers for whom this service is applicable. In case you have configured customer groups for different services, you can select the whole customer group. If not, choose the ‘Individual’ option and select the customers from the list. Select ‘Manage’ to add customers.
I chose GSTR-1 Clients (Monthly) for this recurrence policy and proceed. (Customer groups are configured beforehand. Check our article on customer groups to know more)
Enter the service details, such as the title of the service request, description, and priority. You can also enable the ‘Include Service Date’ toggle, to prefix/suffix the service date to the title. And select ‘create’.
Now the service request for GSTR-1 Monthly will be created on the 1st of every month and it will be available on the team activity of the service board.
In the same way, we can create the recurrence policy for GSTR-1 Quarterly. The processes remain the same, but in place of frequency choose ‘Annual’ and select the due date from the calendar. And select ‘Add’ to include the due date. Choose four due dates for quarterly filing. I.e. 13th April, 13th July, 13th October, 13th January and add them.
Now proceed to add the customers for the service.
And fill out the service details and create the recurrence policy.
